Create Tasks in Podio

Overview of tasks

Tasks in Podio can be used for quick “to-do”s for you and your team members. A task can be created and assigned from any workspace, app, or app item. This gives you a quick and easy way to allocate specific action items to members of your team.

You can access your own tasks via the tasks icon in the top blue bar.

There are a couple of ways to create tasks in Podio:

  • Hit 'T' on your keyboard from anywhere to create a task linked to the item/page that you're looking at. (must be logged in to Podio)
  • Click the task icon in the top blue bar (shown above). This is also a complete overview of your existing tasks, tasks you delegated, and tasks you are working on.
  • You can create a task via email - hit the “Create a task from email” link in right side of your tasks page.
  • You can give a task to someone on Podio by going to their profile page and adding it from there.
  • On any app item in Podio e.g. a deliverable or a meeting, just press the task icon in the right side bar to create a task. It will be attached to the item.

If you want to create a task from your email that is directly related to a workspace, follow these steps:

  • Click on “[workspace name] tasks” in right side of the activity stream of a workspace.
  • Here you find a link called “Create task from email”.
  • Use this address to create tasks related to the specific workspace by sending an email.

When creating a task, you can assign the task to anyone. This includes people who haven't signed up for Podio yet - see this article for information on assigning tasks to others.

Create a Task from email

You and add items to your To-Do (Tasks) list by sending an email message.

To enable this capability you need to do a little prep-work. You need to get your Podio Task email address and add it to any address book you want to use it from (or memorize it ;-)). If you want to use this from your Documation email - add this address to you Documation contact list; If you want to use this from your personal email account - add it to your personal email account address book, etc.

  • Begin by going to Podio and “My Tasks” (log in if needed).

  • In the right side column find “Create a task from email”, click once.

  • At the bottom of the dialog window you will see an email address with a username similar to your own.

  • Add this address to any address list you want to be able to create Podio Tasks from. You can add the address by:
    • manually by copying the text from the box
    • downloading the .vcf file
    • choosing one of the predefined email service connectors (With this method after you chose one the list is hidden, if you wish to add another look for the link “Other available services V”)

To create a task:

  • Start a new email
  • Use the special email address from your address book or by copying it from Podio
  • The email subject line will become the Task Headline
  • The email message body will become the details of the Task item.
  • Go back to Podio to review the new Task (You may need to refresh your browser window to make the task appear.)
